An AI tool for assisting inside sales representatives in equipment selection and understanding project processes for various industries and project types.

To design an AI-powered tool that supports inside sales representatives in selecting the right tools and equipment from the Sunbelt catalog for customer projects, streamlining the sales process, improving decision-making, and increasing overall customer satisfaction.

The problem

Given the vast catalog of products and the specificity of each project, sales reps had difficulty determining the ideal solutions, leading to:

  • Increased decision-making time: Sales reps had to manually sift through product catalogs, technical specs, or spend time reaching out to a colleague more informed on the project specs.

  • High training demands: New sales representatives faced a steep learning curve in understanding product nuances and how to apply them to real-world customer projects.

Solution overview

We developed an AI-powered recommendation and project plan system that integrated with RentalMan (equipment rental software). The tool aimed to do two things:

  • Equipment selection: Using AI to analyze the customer’s project requirements and recommend the most suitable tools from the company’s catalog.

  • “Project Plan” generation: Once the right tools were recommended, the AI would automatically generate a Project Plan, outlining key project phases, timelines, and equipment utilization strategies based on the customer’s needs and industry best practices.

Design process

The design process followed a user-centered methodology, with a focus on understanding the needs of inside sales representatives and delivering a solution that integrates smoothly into their daily workflow.

Key insights:

  • Sales reps needed a tool that would offer relevant suggestions based on specific project details (e.g., job type, size, equipment specifications).

  • The solution had to be fast and easy to use, as reps often worked under time pressure and needed quick recommendations.

  • Reps frequently needed to access detailed technical specs and comparisons between tools.

Defining the features

  1. Project input form: Sales reps could input key project details, such as the tool type, the task or project the customer would like to accomplish, and environmental factors, etc.

  2. AI recommendation engine: The tool would process the inputs and match them against the internal database of products, providing a ranked list of the most suitable tools and machinery.

  3. Discussion Guide or Project Plan: Once the equipment was selected, the tool generated an automatic project plan that could include phases of implementation, timelines & scheduling, or resource optimization.

  4. Add or remove to cart: In order to keep track of the equipment selection, the sales rep has the ability to “add to cart”, where from there they can copy the cat-class number and start an order via Wynne (RentalMan).

The results

Although still in beta, some of the efficiency gains hoped for the tool are:

  • Reduced times to propose solutions, and an improved workflow for the sales reps.

  • Increased accuracy of equipment selection with actionable project plans that improved customer confidence regarding planning and implementation of the Sunbelt equipment.

  • Increase in conversion rates, as customers were more confident in proceeding with projects that felt well-organized.
